You might have heard about lean manufacturing. Have you ever heard about lean communication? I believe lean concepts can be very useful in the process of communication.

Let us have a quick look at the famous eight manufacturing wastes. Interpretations of these wastes in the context of communication are also given below

1. Overproduction – Communicating excess information when they are not required
2. Waiting – Waiting for information
3. Higher Transportation - Long length of communication channels
4. Inappropriate Tooling - Inappropriate equipment in communication
5. Higher WIP – Accumulation of data and information without processing
6. Ergonomic imperfections – Problems associated with communication methods and equipment
7. Defects – Wrong information
8. Underutilization Of Human Talents – Not using human talents and emotions in the process of communication

Communication process is one of the most important processes in any organization. Even in this age of information, organizations have to learn to communicate effectively. It is not about communicating fast. It is about being effective and efficient. There are many fast communication channels available today. One of the most important methods of communication of this kind is the email. It is useful, simple, fast and cost effective. But s this tool used effectively in your organization. Ask yourself. if you are not sure do a simple test and find out how many mails are useful and how many are not. How many are copied to you and how many are directed to you. I am sure you will find out that most of the mails you receive are useless.

Also find out how long you wait for the information to take action. How much of information is with you but yet to be sending out to the relevant parties. Also think about how much misleading the wrong information is.

Think about these carefully. Communication process is one of the main areas you can make improvements in your organization. It will save you time and money. Also better communication practices leads to better manufacturing.
